In international trade, clear delivery terms are the foundation for ensuring the interests of both parties. We use Incoterms (International Commercial Terms) established by the International Chamber of Commerce (ICC) to regulate delivery responsibilities and cost allocation. Depending on your needs and experience, we can provide different trade terms such as FOB, CIF, EXW, or DDP.

Trade Terms Explanation

Understanding trade terms is crucial for accurately calculating import costs and arranging logistics properly. Below are several commonly used trade terms at Fuyuan and their meanings:

FOB (Free on Board)

This is the most commonly used trade term in textile exports. FOB is followed by the port of shipment, such as “FOB Shanghai” or “FOB Ningbo.”

Under FOB terms, Fuyuan is responsible for transporting goods to the designated port and loading them onto the vessel, including export clearance procedures and all costs before loading. Once the goods are loaded, ownership and risk transfer to you. You are responsible for ocean freight from the port of shipment to destination, insurance, unloading fees at the destination port, customs clearance costs, duties, and domestic transportation from the port to the final address.

The advantage of FOB is that you can choose your own trusted freight forwarder and better control shipping costs and timing. If you have a long-term logistics partner or are familiar with international shipping, FOB is an ideal choice. FOB quotations are relatively transparent, making it easier to compare actual product prices from different suppliers.

CIF (Cost, Insurance and Freight)

CIF terms are also very popular among Fuyuan’s customers, especially for first-time importers from China. CIF is followed by the destination port, such as “CIF New York” or “CIF London.”

Under CIF terms, Fuyuan arranges ocean freight and purchases cargo transport insurance (usually 110% of the cargo value), delivering goods to your designated destination port. Freight and insurance are included in the quotation, and you only need to pay unloading fees at the destination port, customs clearance costs, duties, and domestic transportation from the port to your warehouse.

The advantage of CIF is convenience and peace of mind. We handle all shipping arrangements from factory to destination port, so you don’t need to find a freight forwarder in China or coordinate export matters. As long-term exporters, we can usually obtain more favorable shipping rates than individual customers. Based on our experience, over 90% of customers who choose CIF are satisfied with this method. If you’re unsure which trade term to choose, we recommend using CIF for first-time cooperation.

EXW (Ex Works)

EXW is the trade term with the least responsibility for the seller, followed by the factory address. Under EXW terms, Fuyuan only needs to prepare the goods at the factory for your collection. Everything thereafter is your responsibility, including factory pickup, domestic transportation to the port, China export clearance, international shipping, insurance, import clearance, and duties.

Although EXW quotations appear lowest, in practice you need to handle numerous complex procedures, especially China’s export clearance formalities. If you don’t have logistics partners in China or are unfamiliar with China’s business environment, EXW may bring many difficulties and hidden costs. Therefore, we generally do not recommend EXW terms for first-time international customers.

DDP (Delivered Duty Paid)

DDP is the most convenient trade term for buyers, followed by your designated delivery address. Under DDP terms, Fuyuan bears all costs and risks of delivering goods to your specified location, including international shipping, insurance, import clearance, duties, and domestic transportation in the destination country. You only need to unload and receive the goods upon arrival.

DDP is particularly suitable for customers who need door-to-door service, such as Amazon FBA sellers or buyers who don’t want to handle any logistics details. Although DDP’s total price is relatively higher, it provides maximum convenience and certainty. For large orders, we can provide competitive DDP quotations.

We recommend discussing the most suitable trade term with our sales team before placing an order. We will recommend the most appropriate and economical solution based on your order size, destination, logistics experience, and specific needs.

Production and Shipping Time

Accurately understanding production and shipping cycles helps you plan your procurement properly. Fuyuan’s delivery time depends on product type and order quantity.

Stock fabrics are usually completed for quality inspection, packaging, and shipment within 7 to 10 business days after order confirmation and deposit receipt. We keep inventory of some popular fabric styles and can respond quickly to your needs.

Custom or dyed fabrics require longer production cycles, generally 15 to 30 business days. Specific time depends on fabric complexity, number of colors, whether special treatment is needed, and other factors. For large custom orders (over 1000 meters), we provide samples for your confirmation before production, and bulk production begins after sample approval.

Sample orders can be shipped within 3 to 5 business days. If you need to evaluate fabric quality or color, we recommend ordering samples first. Samples are sent via international express and usually arrive in major cities worldwide within 3 to 7 days.

Regarding shipping time: International express (DHL, FedEx, UPS) usually takes 3 to 7 business days for delivery. Air freight takes approximately 7 to 15 days, suitable for medium-volume orders with certain timing requirements. Sea freight time varies by destination, generally 20 to 45 days, making it the most economical choice for large orders.

Please note that the above times are reference times under normal circumstances. Actual delivery time may be affected by factors such as raw material supply, production scheduling, destination country customs inspection, and holidays. We will inform you of the specific estimated delivery date when confirming your order and promptly update you on progress during production and shipping.

Shipping Methods and Costs

Fuyuan can arrange different shipping methods according to your needs. Each method has its applicable scenarios and cost characteristics.

International Express is the preferred choice for samples and small orders. Our partner express companies include DHL, FedEx, and UPS, which provide door-to-door service, detailed tracking information, and relatively convenient customs clearance processes. The advantage of express is speed and service, but the cost is high, suitable for urgent replenishment or sample shipping. Express companies usually handle import clearance and advance duties, then charge you these fees.

Air Freight transports via air cargo, with timing and cost between express and sea freight. Air freight is suitable for medium volumes (usually 200 to 1000 meters) and orders with delivery requirements but limited budgets. Air freight requires you to arrange customs clearance and pickup at the destination airport, or entrust a freight forwarder to handle these matters.

Sea Freight is the best choice for large orders. Although sea freight takes longer, shipping costs are much lower than air and express, offering significant cost advantages for orders over 5000 meters. Sea freight can choose Full Container Load (FCL) or Less than Container Load (LCL). FCL is suitable for large order quantities, while LCL is suitable for orders insufficient to fill a container. Sea freight involves customs declaration, commodity inspection, and other procedures. If you choose FOB terms, you need to arrange these matters yourself or through a freight forwarder. If you choose CIF, we will handle all matters to the destination port.

Regarding shipping costs: Since fabrics are relatively light but bulky, shipping costs are usually calculated based on the greater of actual weight or volumetric weight. Volumetric weight = Length × Width × Height (cm) ÷ 5000. When quoting, we will provide total prices including all costs based on your chosen trade terms and shipping method, giving you a clear understanding of cost structure.

For large orders (usually order amounts above $5000 or specific meterage), we can provide discounted shipping or negotiate more competitive prices. Please discuss specific preferential policies with our sales team when inquiring. For long-term customers, we also provide more flexible logistics arrangements and price discounts.

Packaging and Labeling

Professional packaging is key to ensuring fabric quality during long-distance transportation. Fuyuan adopts standardized packaging procedures for all export fabrics.

Fabrics are neatly rolled onto sturdy paper tubes or plastic cores, preventing creases and facilitating subsequent use. The rolled fabric’s outer layer is tightly wrapped with waterproof plastic film, forming a waterproof and dustproof protective layer. Multiple fabric rolls are packed into high-strength cartons with filling materials inside to secure them, preventing movement and collision during transportation.

For sea freight or long-distance transportation, especially valuable fabrics such as bridal lace or fine embroidered fabrics, we use wooden crate packaging with additional reinforcement. Wooden crates require fumigation treatment and fumigation certificates to comply with international phytosanitary requirements.

Each package exterior is labeled with clear shipping labels, including your company name, detailed address, contact phone, order number, and quantity information. A detailed packing list is enclosed inside the box, listing each fabric roll’s product name, color, specifications, quantity, unit price, and total price for easy verification upon receipt.

We can adjust packaging methods according to your requirements. If you have special packaging needs, such as printing your company logo on outer boxes or rolling and packing in specific ways, please inform us when placing your order. We will do our best to meet your requirements; certain custom packaging may incur additional costs.

Cargo Tracking and Notifications

After goods are shipped, we will immediately send you a shipping notification via email, including complete tracking number, carrier name, estimated arrival time, and tracking link.

For international express, you can check package real-time location anytime on DHL, FedEx, or UPS official websites. Tracking information is usually updated multiple times daily, showing every step from dispatch, transit, customs clearance to delivery. Express companies also proactively contact you before customs clearance or delivery.

For sea freight, we provide Bill of Lading Number and sailing schedule information. You can check container shipping status through the shipping company’s website or freight forwarder, including loading time, vessel name and voyage, estimated port arrival time, etc. Sea freight tracking information updates less frequently, usually updating at each port arrival node.

For air freight, we provide Air Waybill Number, allowing you to check cargo status in the airline or freight forwarder’s system.

If you discover any abnormalities during tracking or have questions about logistics information, please contact us anytime. We will communicate with the logistics company to check specific situations and provide solutions. For important orders or first-time customers, our customer service team will also proactively follow up on shipping progress and notify you in advance to prepare for customs clearance and receiving when goods are about to arrive.

Customs Clearance, Duties, and Documentation

International trade involves customs procedures. Understanding customs clearance processes and duty policies is important for smooth goods receipt.

Export Clearance: If you choose FOB, CIF, or DDP terms, Fuyuan will handle China’s export clearance procedures. We prepare necessary documents such as Commercial Invoice, Packing List, and export permits. If you need Certificate of Origin to enjoy tariff preferences, we can assist with processing. Common ones include Generalized System of Preferences Certificate (Form A) and China-ASEAN Free Trade Area Certificate of Origin (Form E). These certificates can help you enjoy duty reduction or exemption in eligible countries.

Import Clearance and Duties: According to international trade practices, import duties, VAT, and other taxes in the importing country are borne by the buyer (consignee). Duty rates depend on your country’s customs policies, product HS code classification, and whether there are free trade agreements. Textile fabric duty rates vary greatly across countries, ranging from zero duty to over 15%. We recommend consulting local customs brokers or customs authorities before ordering to understand accurate rates for precise import cost calculation.

For small shipments using international express, express companies usually handle import customs clearance procedures, advance duties and clearance fees, then charge you later. For large sea or air freight shipments, you need to entrust professional customs brokers to handle import clearance. Customs brokers will declare to customs based on documents we provide; goods can only be released after paying duties and taxes.

If you choose DDP terms, Fuyuan will pay all import duties and taxes and deliver goods to your designated address. This is the most convenient method, but correspondingly, DDP quotations include these costs plus service fees.

Some countries have special labeling requirements for textiles, such as mandatory marking of fiber content, washing instructions, country of origin, etc. Please inform us of your country’s specific requirements when ordering. We will prepare fabric labels accordingly or provide necessary product information to avoid customs clearance issues.

Special Notes

In international trade, some objective factors may affect delivery time or product quality that you need to understand:

Dye Lot Variation is an inherent characteristic of the textile industry. Even with the same formula and process, fabrics dyed in different batches may have slight color differences. This is caused by dye properties, temperature, time, and many other factors, falling within normal industry range. If you need to order the same fabric multiple times requiring color consistency, we recommend ordering the full required quantity at once or reserving some inventory from the first order. If multiple orders are necessary, we will try to use the same dye lot, but perceptible color differences may still exist. We recommend confirming samples before bulk production to avoid subsequent issues due to color differences.

Holiday Impact also needs consideration. During China’s Spring Festival (usually late January to mid-February), National Day (October 1-7), and other long holidays, factories stop production and logistics are affected. Important holidays in destination countries such as Christmas and Thanksgiving may also cause customs clearance and delivery delays. We recommend considering these factors when planning procurement and arranging orders in advance. We will remind customers of potential impacts before holidays to help you plan timing appropriately.

Force Majeure factors such as natural disasters, epidemics, war, port strikes, extreme weather, and other circumstances beyond both parties’ control may affect production or shipping. Although these situations are relatively rare, once they occur, we will notify you immediately and negotiate solutions, which may include delayed delivery, changed shipping routes, partial shipment, or order cancellation. We will do our utmost to minimize these factors’ impact on you.

Customs Inspection is a normal procedure in the import process, but occasionally customs conduct detailed inspections, which may cause additional delays. If your goods are selected for customs inspection, additional documents or explanations may be required. We will cooperate in providing necessary support, but delays resulting from this are beyond our control. Maintaining good communication and promptly providing required documents can help expedite customs clearance.

Receipt Inspection

After goods arrive, please inspect carefully to ensure the products you receive meet order requirements.

When express or logistics companies deliver, please first check whether outer packaging is intact. If you find obvious damage, water damage, impact marks on packaging, or obvious shortage of packages, please note this on the receipt and take photos for evidence, immediately notifying us. This is very important for possible subsequent insurance claims. If outer packaging is severely damaged, you have the right to refuse delivery and request the logistics company issue a damage certificate.

After signing for receipt, please open boxes and inspect goods as soon as possible. Check the packing list to confirm received fabric roll quantity, colors, and specifications match the order. If you discover quantity shortages, wrong colors, or obvious quality issues, please contact us within 48 hours of receipt with photos and detailed descriptions. We will handle it immediately for you. Possible solutions include sending missing goods, replacing incorrect products, or negotiating other solutions based on specific circumstances.

For fabric quality inspection, please refer to our quality standards. Minor flaws within the allowable range of our adopted 4-Point System are normal tolerances for textiles. If you believe fabric has quality issues exceeding standards, please keep the fabric in its original state (do not cut or wash), contact us and provide clear photos. We will handle it according to our return and exchange policy.

Please pay customs duties and taxes on time to avoid additional late fees or storage charges. If you have questions about tax amounts, you can request detailed tax lists from customs brokers; if necessary, you can apply to customs for review.

After receiving fabric, we recommend storing it in a dry, ventilated, light-protected environment. Avoid prolonged exposure to sunlight or storage in damp places to maintain optimal fabric quality. Different fabric types have different storage requirements; please consult our technical team if you have questions

Which trade term do you recommend most?
For customers with import experience and fixed freight forwarders, we recommend FOB because you can better control logistics costs. For first-time importers from China, we recommend CIF because it’s more convenient. The specific choice depends on your experience, order size, and needs.

How much is shipping approximately?
Shipping costs depend on weight, volume, destination, and shipping method. Sample express to Europe and America is usually $30-80. Large-volume sea freight is approximately $30-100 per cubic meter. We include shipping costs in quotations to give you complete cost information.

Can you offer free shipping?
For large orders (usually order amounts above $5000), we can provide discounted shipping or bear part of shipping costs depending on circumstances. Please discuss specific policies with us when inquiring.

What are duties? Do I need to pay them?
Duty rates depend on your country’s policies and product classification, typically 0-15%. According to international practice, import duties are borne by the buyer (except DDP terms). We recommend consulting local customs or customs brokers to understand accurate rates.

When will goods arrive?
Total time from order to receipt = production time + shipping time. Stock fabrics 7-10 days shipping + express 3-7 days = approximately 2 weeks. Custom fabrics 15-30 days production + sea freight 20-45 days = approximately 6-10 weeks. We will inform you of specific timing when confirming your order.

How do I track my goods?
After shipment, we immediately send you tracking number and link. You can check goods location in real-time on the carrier’s website. Our customer service team also follows up on important order logistics status.

What if goods are damaged during shipping?
All internationally shipped goods are insured. If damage is found, please take photos immediately and contact us. We will assist with insurance claims or arrange to resend goods. This is why we emphasize careful package inspection upon receipt.

I have no import experience. What method should I choose?
We recommend first-time importers choose CIF or DDP terms. With CIF, we deliver to your port and you only arrange customs clearance. With DDP, we handle everything and deliver directly to your address. Our team will guide you through the import process.

Can you ship during Chinese New Year?
During Spring Festival (usually late January to mid-February), factories close for holidays and cannot produce or ship. Logistics are also affected. We recommend arranging orders in advance or placing orders after Spring Festival. We will notify holiday schedules in advance.

Will fabric color be the same as last order?
Slight color differences may exist between different dye lots, which is normal for textiles. If you need exactly matching color fabric for the same project, we recommend ordering the full required quantity at once. We will try to control color differences but cannot guarantee different batches are completely identical.
